Job Description
1 Year – extendable to 2 years
Unaccompanied
Grade A

To support the programme in the development of reports, proposals, case studies, and other relevant documentation, and assist management with regard to storing of documentation, information sharing and in the dissemination of learnings
Reporting & Documentation (70%):
• Liaise with both national and expatriate staff to produce high quality, timely, and accurate donor and internal reports, proposals and other documents as requested through inputting high levels of critical analysis, knowledge of best practices and lessons learned. Production of downward accountability documents in suitable formats. These documents will be in line and compatible with the donor formats as needed.
Learning and planning (20%)
• Assist the programme managers to develop the capacity of staff and Partners in producing good quality proposals, reports, case studies, and other relevant documentation.
General (10%)
Collaborate to programme work through inputting sound, reliable and evidence-based research.

Work Targets Set For This Post Over The Contract Period
• Assist the CD and ACDs in gathering information from partners including the government, community development associations and the private sector as needed, and in responding to specific requests for reporting and information management;
• Prepare annual and quarterly plans for different report requirements and their schedule in coordination with the Assistant Country Directors and the CD, The program Coordinator’s and Program Managers and ensure documents prepared for Dublin and donors within the required deadlines;
• Ensure that the country programme is compliant with all aspects of reporting to Dublin Office, and assist in ensuring that Concern publication and communication policy and procedure is adhered to;
• Produce, in liaison with team, publications to inform both beneficiaries and partners of Concern’s work and progress.
• Systematically collect and file both hard and electronic copies of all documents, including versions of reports/proposals/project agreements, technical agreements/etc ‘as sent to HAC, HQ’s and to donors.
• Provide technical assistance to project managers, assistant Area coordinators, in the production of reports and publications including making arrangements for printing, picturing etc;
• Produce “in-house” case studies that demonstrate best practice in areas of Concern’s work and also address problems/constraints and critical issues.
• Ensure that the learning from these case studies is bought to bear in programme reviews, programme and strategic planning;
• Develop processes and initiatives that contribute to a learning culture within Concern Sudan that ensures our work is informed by experience, lessons learned and best practice ensuring that lines of communication are maintained;
• Assist the ACDs and CD in assessing and documenting the relevant training needs for programme staff and conduct/organize appropriate trainings.
• Assist the programme team in developing and consolidating yearly, and quarterly programme work plans
• Assist the ACDs and CD in updating Concern Sudan brochure and provide technical support to data management staff.
• Maintain open communication and good working relations with all field programmes and act as a “go-to person” for advice on a wide range of programme-related diverse issues and problems;
• Provide all necessary documentation support to the CMT and state management teams including preparation for and recording of such meeting decisions, where appropriate;
• Contribute to development, review, and revisions of institutional and country programme strategies and policies, and assist CMT and state management teams with research related to relevant government strategy plans and progress reports
• Any other tasks mutually agreed with the line Manager

Qualifications of the Candidate
Essential:
• B.Sc. degree in development/humanitarian studies or a similar field
• Self motivated, progressive and proactive.
• Cross cultural awareness and sensitivity.
• Empathy with Concern’s goals and a commitment to capacity building, protection and participation.
• Good communication and training / capacity building skills.
• Good organisation and management skills including monitoring and evaluation.
• Ability to work on own initiative and as part of a team.
• Flexible and adaptable to a changing environment.
• Ability to work under pressure often to strict deadlines.
• Knowledge of computer applications i.e. Microsoft word, Excel.


Desirable:
• Technical qualification in report writing and proposal development
• Experience with computer graphics, software for page making and photo format, desktop publishing, and publication production
• Knowledge and/or experience on project cycle management
• Knowledge of programming frameworks
• Previous experience in Sub-Saharan Africa with an international or local NGO
